My team and i have been working with the project consultants throughout the pandemic. We’ve been using email and our project management platform but wondering what the best way to manage communication with them during the pandemic is? It’s been a challenge to implement realtime communication.
We’ve taken the approach that honesty is best. Where it is impacting specific projects – we’ve kept them up to date via our owners meetings (bi-weekly).
Where we have projects that aren’t being impacted, we’re also honest.
Depending on your contracts – you may have to issue formal notice of a delay. Check your contract and see if pandemics or states of emergency are included as a delay clause. If your area has declared a state of emergency you may be required to formally notify the owner!
Hope that helps!
We issue a weekly report to the owner which advises of lost workers and any impacted activities. They don’t like it but it’s been a fantastic way to protect us legally during this time.
It is also possible to create simple apps & workflows to capture data from the field. It helps improve communication within the team and I’ve seen it helping multiple businesses now. You should look at Utilize (https://www.utilize.app). It is a tool to create apps & workflows from spreadsheets, without any coding.
